Onsite Administration Assistant

Full Time

Location: Eastwood, South Australia

 

The Position

We are seeking a diligent and proactive Onsite Administration Assistant to join our team. The successful candidate will be responsible for maintaining a welcoming and efficient site office environment while providing essential administrative support to ensure smooth operations.

 

Key Responsibilities

  • Greet all guests to the site office in a friendly and professional manner.
  • Serve as the first point of contact for face-to-face and telephone inquiries, ensuring prompt and courteous assistance.
  • Direct calls and messages accurately to the appropriate team members in a timely manner.
  • Coordinate catering orders for meetings and events, accommodating dietary requirements as needed.
  • Manage communications with clients and stakeholders regarding site activities.
  • Schedule and organise meetings efficiently, including the distribution of accurate information and meeting minutes.
  • Provide IT support, including assistance with guest Wi-Fi connections and equipment setup.
  • Handle administrative tasks such as printing, typing, and preparing project materials.
  • Assist the Senior Project Manager with administrative duties as required.
  • Manage site mail and deliveries, as well as running errands as needed.
  • Maintain contact lists, signage, and office amenities to high standards.
  • Ensure cleanliness and organisation of kitchen, lunchrooms, and outdoor areas.
  • Maintain office machines and supplies to ensure continuous functionality.
  • Adhere to Quality, Health, Safety, Environmental, and Information Security policies and procedures.
  • Lead by example in demonstrating consistent behavior aligned with company values and QHSE standards.
  • Foster effective communication and engagement among employees and stakeholders.
  • Identify and participate in improvement initiatives to enhance company profitability and sustainability.

Mandatory Knowledge & Experience 

  • Proven experience in administrative roles, preferably in a construction or project management environment.
  • Excellent communication and interpersonal skills.
  • Strong organisational and multitasking abilities.
  • Proficiency in MS Office suite and basic IT troubleshooting.
  • Attention to detail and accuracy in handling tasks.
  • Ability to work independently and as part of a team.
  • Commitment to upholding company values and QHSE standards.
